- Hours: 2.5 days per week, a maximum of 20 hours. Schedule: M/F or Thu/Fri, 8:30 am- 5:00 pm AND Tuesday morning 9:00 am- 12:00pm

THE PLACE
The Administration Offices for Portland Rescue Mission, located in the south wing of the Shepherd’s Door facility in East Portland, supports the life transforming work of Portland Rescue Mission taking place in 3 ministry sites, 3 transitional houses, 2 vocational training enterprises, and 2 outreach vans. The Staff Ministry (HR) Department is a group of dedicated professionals using their administrative and people skills for life-changing Christian ministry. Our goal is to participate in what God is doing in the lives of the men, women and children we serve at PRM with integrity and excellence. Our department oversees the human resources, internal communication and administration office coordination for Portland Rescue Mission, and our team’s goal is to build and maintain a work environment where highly relational, Christ-centered joyful servants will flourish as part of our staff.
THE POSITION
The Administrative Assistant will support the work of the Staff Ministry office and the reception desk for Portland Rescue Mission. This position is a mix of administrative tasks, reception coverage, engagement with staff and equipping of residents, volunteers, and the community.
THE ESSENTIALS
- Oversee all functions of the Reception Desk: welcoming guests, logging calls, receiving and sending mail and email, open and closing reception area daily
- Manage the completion of new staff paperwork and staff exit paperwork
- Respond to all requests from outside agencies including the Employment Department, employment verification companies, records requests, workers compensation claims and other requests as made
- Collaborate with the payroll department to keep employee data up to date using WorkForceNow and ADP
- Handle employee communications as necessary
- Manage the HR filing systems
- Train and supervise volunteers, staff, and program participants to work at the front desk along with other general office responsibilities
BACKGROUND AND QUALIFICATIONS
- A personal relationship with Jesus Christ and a testimony of continued growth in faith
- Adheres to Portland Rescue Mission’s Statement of Faith and Code of Ethics
- A personal ethos and work ethic that reflects Portland Rescue Mission’s ministry culture – Highly Relational, Christ-Centered, Joyful Servant
- Academic degree in related field or experience equivalent
- Ability to keep multiple, detailed projects in balance while exemplifying a friendly and positive attitude in service to the public and to our staff.
- Commitment to confidentiality, discretion and accuracy in all areas of human resources processes
- Prompt and thorough in job performance, self-starter
- Experience in Mac and Microsoft Windows software
- Ability to lift at least 50 lbs.
