ADMINISTRATION

The Administration Offices for Portland Rescue Mission, located in the south wing of the Shepherd’s Door facility in East Portland, supports the life transforming work of Portland Rescue Mission taking place in 3 ministry sites, 3 transitional houses, 2 vocational training enterprises, and 2 outreach vans. The Administration Offices hosts a variety of teams including advancement, finance, facilities, IT, volunteer coordination, and HR and features a break room, prayer room, conference room, and outdoor seating areas. The Administration ministry team of staff, interns, and volunteers serves to demonstrate the compassion of Christ to support the work of nearly 100 employees to give hope and restore life for thousands of people in great need through meals, shelter, and life restoring programs.

THE POSITION

This position is responsible for all aspects of accounts payable processing, including successfully maintaining managing payments, data input and communicating with staff and vendors. This position requires a strong ability to manage details and keep records. The A/P Specialist is responsible for providing support to inquiries around billing made by vendors or staff. The right candidate will have a true can-do attitude, a passion for providing excellent customer service, a proven ability to exercise a high degree of discretion and confidentiality, an eye for detail, and a heart for service. THE ESSENTIALS

  • Vendors will feel honored by their confidential data being handled with accuracy, security and integrity by the A/P Specialist.
  • Staff inside and outside of the Finance department will experience a warm, customer service oriented tone and receive timely and accurate responses to their A/P related communication.
  • The Finance team will be strengthened to better serve staff and vendors as this role collaborates with the team daily, prioritizing support for A/P and other finance initiatives as needed.
  • PRM’s reputation will be maintained in good standing with the community due to invoices being paid accurately and on time, and any problems or discrepancies will be quickly resolved with clear and kind communication between PRM, vendors and outside agencies.  

GENERAL FUNCTIONS

  • Reviewing invoices to ensure they are accurate and coded to the proper General Ledger account
  • Run checks weekly and enter transactions into the bank Positive Pay system
  • Send visa statements to visa owners and work alongside them to train and assist with questions on completing Excel spreadsheets.  
  • Create and maintain existing administrative systems for 1099’s, credit applications, vendor contracts as needed
  • Provide input as part of the Finance Department to improve overall performance of serving staff and vendors

BACKGROUND AND QUALIFICATIONS

  • College degree in related field or experience equivalent
  • Experience with Quickbooks Online
  • A personal relationship with Jesus Christ as Savior and a testimony of continued growth in faith
